Power BI + Dynamics 365: Building Real-Time Financial Dashboards

Author by Admin | April 2, 2026

Finance teams running Dynamics 365 F&O or Business Central often rely on Excel exports and static reports for financial analysis. Power BI changes that entirely - giving you live, interactive dashboards that connect directly to your ERP data.

Why Power BI for Financial Reporting

  • Real-time data: Dashboards refresh automatically from your D365 data - no more waiting for month-end spreadsheets
  • Self-service: Finance teams can slice data by dimension, period, entity, or department without IT involvement
  • Embedded in D365: Power BI tiles can be pinned directly inside the D365 workspace so users never leave their ERP
  • Row-level security: Control who sees which entity, department, or cost centre data

Essential Financial Dashboards

1. Cash Flow Dashboard

Shows current cash position, projected inflows/outflows from open AR and AP, and cash forecast by week or month. Essential for treasury management.

2. P&L Variance Dashboard

Actual vs. budget by GL account, dimension, and period. Drill-through to individual transactions. Highlights variances that exceed configurable thresholds.

3. Accounts Receivable Aging

Customer-level aging buckets (current, 30, 60, 90+ days), collection trends, and DSO (days sales outstanding) over time.

4. Procurement Spend Analysis

Spend by vendor, category, and department. Contract compliance tracking and purchase order cycle time metrics.

Connecting Power BI to Dynamics 365

For Business Central: use the native Power BI connector (available in AppSource) or connect via OData/API endpoints. BC also supports embedded Power BI reports directly in role centres.

For F&O: use Entity Store (for aggregate measurements) or export to a data warehouse (Azure Synapse, data lake) for complex reporting that joins ERP data with external sources.

Best Practices

  • Start with 3–4 dashboards that finance actually needs, not a 50-page report pack
  • Use a star schema data model - fact tables for transactions, dimension tables for accounts, vendors, items
  • Set up incremental refresh for large datasets to keep performance fast
  • Implement row-level security from day one, not as an afterthought
